Key Accountabilities (includes, but not limited to the following):
1. In-depth knowledge of UAE VISA processes, work permits, labour regulations, Emirates ID, residence permits, and UAE government portals (ICP, MOHRE, GDRFA, etc.)
2. Strong liaison and coordination skills with government departments, free zones, visa partners, clients, and local authorities to ensure smooth processing of official documentation.
3. Expertise in managing end-to-end crew mobilization, including visas, medicals, biometrics, work permits, travel cards, security passes, and document verification.
4. Ability to prioritize urgent cases, manage multiple deadlines, resolve visa-related issues, and ensure timely completion of operational requirements
5. Proficiency in maintaining visa trackers, quota management, PR/GRN processing, expense monitoring, compliance records, and preparing regular management reports.
PRO Responsibilities:
- Coordinate with our Visa partner and ensure that he gets paid genuine invoices he places
- Ensure we have sufficient stock of UAE Residential visa (1 Year Type) in Hand – keeping in view all our operational requirements
- Coordinate with ROP and ensure that the visas get issued with an Agreed timeline of 2 days for the crew
- Coordinate for all documentation requirements for UAE Visas (Residential and Tourist/Express) including BUT NOT limited to Visa medicals.
- Receive crew at Airport, post securing visa – handover the crew to operations at the site
- Maintain all Crew exit entries and records of their visas and keep all stakeholders posted of details
- Maintain a visa, local TPT and Hotel spent tracker – exclusive for Visa crew
- Coordinate wherever hotels are required for crew to stay till the Residential visa gets
- Support in securing the UAE tourist/express VISA for crew and visitors
Labor & Licensing Compliance
- Process labour contracts, renewals, and
- Assist in company license formation, renewal, and modification with relevant authorities (DED or Free Zones/DMCC/RAKEZ).
- Ensure compliance with UAE labour laws and company
Document Handling & Attestation
- Prepare, submit, and track official documentation (legal, licensing, employee-related).
- Coordinate document attestation & power of attorney execution via:- Notary Public/Ministry of justice/Dubai Court
– Ministry of Foreign Affairs (MOFA)
– Embassies/Consulates
Regulatory Updates & Advisory
- Stay updated on UAE government regulations, policies, and procedural
- Advise management and HR on compliance requirements and
Corporate Representation
- Represent the company in government offices and meetings when
- Build and maintain strong relationships with government
Site Manager Responsibilities:
- Coordinate activities related to crew & Site
- Implements and administer company policies and procedures as delegated by management
- Responsible for taking the crew to the nearest hospital for Medical & Accident cases
- Reports all safety-related incidents within the area of responsibility and participates in incident investigations as assigned.
- Performs typical responsibilities of a supervisor requiring planning, evaluating, organizing, integrating, and coaching field crew
- Supervisory responsibilities, including but not limited to tracking attendance (Timesheets), time off requests, performance reviews, disciplinary actions, termination.
HSE Responsibilities:
- Help and assist in raising HSE tickets for on-ground incidents and coordination among the concerned Crew for investigation
- Lead and participate in the incident investigation and reporting process while dealing with involved employees & clients.
- Respond to & act as prime contact person for handing in any Emergency Situation at location/Office.
- Help QHSE team in finalizing the required PPE for crew / FTE while coordinating with local vendors and help on locating vendors
- Convey any QHSE feedback received from crew or client to QHSE team for further action and help in arranging meetings with crew.
- Vehicle management including journey management, vehicle tracking, inspection records, maintenance records and fuel consumption.
- Facilitating/Conducting HSE inspections for GET offices &
- Assisting the QHSE team on medical test & trainings (employee/crew).
Admin Responsibilities:
- Manage all administrative tasks related to Villa &
QHSE Responsibilities:

Education
- Graduation or any relevant certification or course in Oil & Gas Industry
Experience
- Minimum 4/5 years of experience
